About the role 

L’Arche Canada will host two major events, its 2018 General Assembly (Halifax) and the 50th anniversary of L’Arche’s foundation in Canada in 2019.  We are looking for a person with expertise in event planning to be able to carry out these two major projects and to help us to structure the existing events.

The ideal candidate will:

  • Actively participate in the planning, design, execution and evaluation of L’Arche Canada events
  • Plan logistics surrounding meetings and committees
  • Suggest original ideas and create customized themes adapted to each event
  • Work alongside the Director of Operations to plan and monitor event budgets
  • Prepare documents to ensure compliance with event regulations (permits, municipal forms, reports, etc.)
  • Work with the Director of Operations and the Director of Communications to write contracts/agreements and prepare promotional material for each of the various events
  • Identify and build partnerships with various partners (Villa Saint-Martin, Manoir d’Youville, etc.)
  • Draft service offers
  • Negotiate costs with the suppliers involved, in consultation with the Director of Operations
  • Ensure the monitoring of purchases and rentals
  • Develop links with Alumni


The chosen candidate must also:

  • Support the Director of Operations to maximize financial, material and human resources
  • Manage support staff (contractual and freelance) during events
  • Manage the set-up, proceedings and tear-down of events
  • Ensure that during events, all agreements made with sponsors and partners are respected
  • Be on the look-out for new event trends
  • Write up assessments
  • Remain on site during events and ensure that technical needs are met

  • Organized, autonomous, excellent initiative and the ability to work independently, in groups and under pressure
  • Capacity to manage several files at once and respect tight deadlines. Adheres to schedules, is detail-oriented, and attentive to minutiae
  • Excellent communication skills and ability to maintain quality interpersonal relationships
  • Fluent in English and French (oral and written)
  • Flexible Availability (hourly, occasionally irregular hours including evenings and weekends)
  • Good physical condition (manual labour)
  • Possesses driver’s license and is available to travel  


Education: College (DEC) university studies (Events planning or relevant field)


Years of job-related experience: minimum of 2 years of experience


Offered Salary: Level 4 of the L’Arche Canada Salary Grid.


Number of Hours per Week: 35 hours/week


Location: Montreal


Various Conditions: Two-year contract with possibility of renewal.


Employment Status: Contractual, full time (daytime, evenings, weekend)


Immediate supervisor: Director of Operations



Anticipated Start Date: November/Décember 2017
